BuildFLOW is protected and secure. Team members login with their e-mail address and unique password. Only your designated administrator can add or delete team members or alter permissions. Each contact is assigned a unique guest ID number and can only access projects they have been invited to review. Permissions and security options can be set at both company wide and project levels. Every activity is logged so all transactions are verifiable.

Document Management

Our Document Specialists work directly with your team members to ensure that all document plans and specifications are submitted, processed and organized correctly. Documents are fully indexed with key fields such as TITLE and DATE. All documents can be easily viewed in the standard PDF and TIFF formats. Folders are used to organize sets, which we manage and maintain across the entire life cycle of a project. Documents submitted or sent are automatically tracked by the system. This provides full accountability and promotes personal responsibility. The automatic new document notification system can be set for e-mail alerts. BuildFLOW's document wizards and dynamic folder features allow automatic updates to the latest document revision. The document wizard can even flag the contacts that should receive the updates.

Ordering Documents

BuildFLOW's integrated system allows easy ordering of documents online, as well as via fax, phone and e-mail. Our staff ensures every order is entered through BuildFLOW, giving your team and ours the ability to track orders from start to finish. A customizable transmittal is included with each order and can be recalled at any time. Through BuildFLOW you can confirm all order contents and delivery status. Control who has permission to order documents and specify who is responsible for payment. Wizards can be used in this process as well, automatically streamlining the update/ordering workflow.

Bid Management

Build a Bidders List in minutes. Get real time bid response history before selecting bidders. Send personalized invitations to bid instantly via fax, e-mail or both from your company templates. Securely track bid responses, proposals and bid values from any location. Bidders can respond to a bid request online, fax or phone. When needed, keep members informed of bidders that have fallen out of favor and store full notes in the Blacklist. All bid information is updated in a real-time environment eliminating the needs for spreadsheets and paper based tracking systems.

Contact Management

Securely manage and share contact information quickly from work, home or on-site. Contacts can only access projects they are invited to review; you have complete control over who sees your projects at any given time. Each contact is assigned a guest ID that is unique to the contact and customer. Contacts must also verify their zip code during login for added security. Access and permissions are specified at both company wide and project levels. Every activity is logged if you need to verify a transaction. Store default contact information like bid response, shipping account information, document delivery method and notes. Your existing contact databases can be imported directly into BuildFLOW.

Manage Projects

Securely manage and organize all of your projects from any location. Categorize and sort projects by their current status, by administrator, job number or name. Create organizational groupings of related projects. Archive completed projects to stay organized and secure. Archived work is easily retrievable and can be made "live" for all team members.

Notices, Alerts & Reports


NOTICES: From within BuildFLOW, instantly send memos, invitations to bid, and other project communications via fax and e-mail. Fax status info and e-mail viewing count are automatically tracked. Maintain your company's own identity by storing and using your own logos/templates within BuildFLOW.

ALERTS: Stay informed with real time alerts. Notify team members via e-mail automatically when new documents have been added to a project. With our Pickup Alert you always know whether plans have been picked up from one of our facilities. Our pickup alert screen lets you change delivery options on the fly to accommodate everyone's schedule and mobility. Alerts keep you abreast of bidders that have neglected to place document orders.

REPORTS: Choose a report from our standard list or create custom reports. Reports can be automatically distributed at regular intervals via e-mail to specified contacts.
